A weekly timesheet adds the paid duration of each shift. Start with elapsed time from clock-in to clock-out, subtract unpaid breaks, then apply the weekly overtime settings you use. The Time Card Calculator accepts up to seven days, including shifts that finish after midnight.
Separate clock time from decimal hours
09:00 to 17:30 is eight hours and thirty minutes, or 8.5 elapsed hours. Subtract a 30-minute unpaid break and the paid duration is 8 hours. Thirty minutes is 0.5 hours, not 0.30 hours; divide minutes by 60 when converting to decimals.
Handle midnight explicitly
For a shift from 22:00 to 06:00, the finish is on the following day. The elapsed duration is eight hours. With a 30-minute unpaid break, paid time is 7.5 hours. The calculator treats a finish earlier than the start as the next day. Equal start and finish times mean zero hours rather than a 24-hour shift.
Clock-only durations do not account for a daylight-saving transition or travel between time zones. For those cases, confirm actual elapsed time from dated time records in a consistent zone.
Add the week before estimating weekly overtime
Four shifts from 09:00 to 17:30, each with a 30-minute unpaid break, total 32 paid hours. A fifth shift from 09:00 to 19:30 with the same break adds 10 hours, giving 42 hours for the week.
With a user-selected threshold of 40 hours, the split is 40 regular hours and 2 overtime hours. At an hourly rate of 20 and an overtime multiplier of 1.5, gross pay is 40 × 20 + 2 × 20 × 1.5 = 860 in the chosen currency.
Review the report
- Check whether breaks are paid or unpaid before subtracting them.
- Review overnight finishes and any accidental identical start and finish entries.
- Use the actual agreed rate, weekly threshold and multiplier.
- Print the report or download CSV to compare it with your records.
The gross-pay estimate does not establish local payroll requirements. Daily overtime, multiple rates, premiums, taxes and deductions require their own rules. For a single clock interval, use Time Difference Calculator; to plan a finish, use Shift End Calculator.
